There are two upcoming WuHire training sessions to help you enhance your understanding of the Non-Benefit Eligible hiring process. These virtual sessions, held via Microsoft Teams, will provide in-depth guidance on how to create a job requisition, select candidates and the offer process.

Session details:

  • Tuesday, Jan. 23: 1:30-3:30 p.m.
  • Wednesday, Jan. 31: 9-11 a.m.

To participate, visit myTraining via your myWSU and enroll in the session of your choice.

Additionally, don’t forget to explore the WuHire Information Hub on SharePoint for the latest updates, user guides and resources.

Effective immediately, Non-Benefit Eligible (NBE) Add Jobs will only be processed through the ePAF system.

If you already have started processing an NBE Add Job in WuHire and it is in “Generate Offer Details” status, it will complete the process in the WuHire system.

If your offer is not already in WuHire in “Generate Offer Details” status, you must send all additional jobs as an “ADDJOB” ePAF.

The use of NBE Add Job ePAFs is in effect until further notice. This action is used when extending an existing Non-Benefit Eligible employee (students, graduate assistants, lecturers and temps) from semester to semester.

If you had the ability to process NBE ePAF Add Jobs prior to WuHire, your access will be reinstated automatically. There will be no need to request access to the system.

Should you have any questions or require further assistance regarding ePAF training, refer to the ePAF (Electronic Personnel Action Form) Hub.

As we approach the end of the ePAF submission period, remember that the final deadline for submitting all ePAFs (exact position extension and add job ePAFs) is by 5 p.m. Friday, Nov. 1. It is crucial to submit all necessary ePAFs by this date to ensure smooth processing and avoid any disruptions.

Important details:

  1. New hire/rehire ePAFs for pending NBE onboarding:
    • All pending NBE onboarding (received on or before Sept. 27) can still be processed using the Onboarding system and New hire/rehire ePAF.
    • The cut-off date for submission of these ePAFs is Friday, Nov. 1.
  2. Add jobs for current job extensions:
    • The same cut-off date, Nov. 1 applies to any add job ePAFs or job extensions for an existing position.
    • If a department plans to extend an NBE position for the spring semester and prefers to complete that extension through the ePAF system, any add job ePAFs must be processed by this date.
    • Note that this applies only to extensions for the exact position number. After Nov. 1, position extensions will be processed through WuHire.
  3. New submissions:
    • Beginning Monday, Nov. 4, we will no longer accept submissions for new hires, rehires or add jobs through the ePAF system, regardless of whether NBE paperwork was submitted on or before Sept. 27.
    • Submissions made up until Nov. 1, will continue through the approval process, but we will closely monitor these and return any submissions made after the cut-off date.
  4. Visibility of ePAF categories:
    • Once all ePAFs have been fully approved and applied, we will disable the visibility of all new hire/rehire and add job ePAF categories in Self Service Banner.
    • Add comp, change of status, funding change, and termination ePAF categories will still be available.

Human Resources appreciates your understanding during the transition to the new system. This week, it’s focusing on troubleshooting tips for non-benefit eligible (NBE) positions. Here’s a handy guide to help you navigate common issues:

Troubleshooting guide for NBE (non-benefit eligible) positions

  1. Candidate identification
    • Known candidate justification: If you have already identified a candidate, include the following in the “Justification and Additional Information” box (not the “Additional Information for Posting” box): “Candidate known – do not advertise externally.”
      • Once a candidate is identified, you will receive a link to send them, allowing the candidate to apply directly for the position.
  2. Job requisition creation
    • Template search: Use the magnifying glass tool when searching for a template to ensure data transfers to the job card appropriately.
  3. Drop-down menu issues
    • Pop-up blocker: If the drop-down menu isn’t working, check your pop-up blocker settings, as this may be causing the issue.
  4. Saving drafts
    • Draft visibility: Ensure your name is added to both the “Dept Admin” and “Hiring Manager” fields to see and access your draft requisition.
  5. Job requisition declined
    • Resubmission process: If your job requisition is declined, open the job requisition and use the “Restart” button (you will not lose information on the form) in the Approvers section at the bottom to edit and resubmit your job card.
  6. Background checks
    • Future update: The offer card will have a Background button added in a future update.
    • Current process: For current NBE positions, please indicate “yes, background needed” or “no, background not needed” for a background check in the “Additional Information” box on the offer card.

As the vibrant colors of fall signal the beauty of change, WSU is embracing a season of transformation with the launch of WuHire, a new chapter for the university’s talent management. WuHire, the new talent management system, will officially go live Monday, Oct. 7, marking a significant step forward in streamlining the hiring and talent management processes across the university.

In preparation for the launch, some sites may experience temporary downtime for maintenance. Notably, the jobs site will undergo a much-needed makeover and will be offline Oct. 2-3.

To help you get familiar with the system, take advantage of several training resources available. If you missed the training sessions over the past two weeks, the recordings — along with user guides and additional resources — are now available on the WuHire SharePoint site to support your transition to WuHire.

Hiring managers and department admins can attend a series of upcoming WuHire training sessions tailored for those with active job postings or who have posted positions within the last six months. These sessions are divided into two, two-hour sessions that will enhance your understanding of the new talent management system, WuHire, which goes live Oct. 7.

As a key stakeholder in the hiring process, hiring manager and department admin participation is crucial to ensure they are up to date with the latest tools and best practices for managing recruitment and onboarding effectively. Those who do not currently have positions posted or have not hired benefit eligible or non-benefit eligible team members in the past six months, are asked to attend one of the ongoing monthly training events after the system goes live.

Week one:

  • Session one: Creating requisitions and recruitment workflow
    • Sept. 16: 8:30-10:30 a.m. in 203 Rhatigan Student Center, Lancelot Room; and 2 to 4 p.m. virtual via Microsoft Teams
