Check out the new Financial Services SharePoint site. All internal processes and procedures have been moved to this new location to make information easier to find and maintain. Take a few moments to explore the site, become familiar with the updated layout and bookmark it for quick access to your resources moving forward.

Financial Services will remove all internal processes and procedures from the Wichita State website over the next several days.

To support a more efficient and trackable process, all requests for equipment transfers and/or disposals must be submitted electronically, via email using the new Transfer form and/or Disposal form.

Refer to “How to Complete the Transfer & Disposal Forms Guide” for assistance in completing the appropriate form. If you have any questions, reach out to Property Control at wsupropertycontrol@wichita.edu.

Follow the steps below if you need to dispose of and/or transfer equipment to a different location/department:

  • Complete the Transfer or Disposal form.
  • Email the completed form to wsupropertycontrol@wichita.edu.
  • Ensure all required information and approvals are included.

Requests not submitted via email may be delayed.

The Financial Services department is excited to launch Finance Self-Service Banner 9 on Dec. 1. The functionality remains the same, but screens have been updated for a more intuitive user experience. Finance Self-Service Banner 8 is still accessible but will retire soon.

Utilize the Finance Self-Service Banner 9 Handbook to navigate the new interface, with step-by-step instructions on how to use each module to access the information you need.

You can also sign up to attend one of the virtual launch sessions in myTraining. Search “Finance Self-Service Banner 9 Demo” and sign up for a morning session Dec. 3 or an afternoon session Dec. 9.

Emburse Enterprise Logo

CR Snap and the Chrome River Mobile App are being replaced by the Emburse Enterprise Mobile App. If you are currently using CR Snap or the Chrome River Mobile app, download the new app before Nov. 30 to continue capturing receipts and submitting expense reports on mobile.

What to do:

  • Download Emburse Enterprise from the App Store or Google Play Store.
  • Log in using WSU Single Sign-On (SSO)
  • Once you are set up, you may delete the old CR Snap / Chrome River apps.

Minimum device requirements:

  • IOS 17+ or Android 11+

Access the Comparison Chart to learn about the features of the new mobile app and the Quick Reference Guide to learn how to navigate the app to capture receipts, create pre-approvals and expense reports, and process approvals.

As part of the fiscal year-end process improvements, Cash Carryforward Budgets were not loaded for Fiscal Year 2026, except for funds that are not a part of the TM1 budgeting process (SRO and Safekeeping funds). This change was made to streamline budgeting practices and encourage timely budget entry by departments.

What this means: Some financial reports that departments commonly use rely on the cash carryforward budget to reflect beginning cash balances. As a result, these reports may currently display inaccurate information.

What you should do:

  • Your cash as of June 30 is still available as of July 1.
  • As long as departments have budgets in place, they will be able to continue spending.
  • If you receive an NSF (Non-Sufficient Funds) error, work with your budget analyst to process a budget adjustment.
  • In the meantime, use the FOBT00088 – Organization Financial Report for RU Funds for accurate beginning cash balances.

Fiscal year 2026 has commenced. The Financial Services department would like to thank everyone for their assistance in ensuring a smooth closure for Fiscal Year 2025.

Journal Voucher approvals – new requirement

Journal Voucher approvals will now require a second approval. All entries will continue to route to the appropriate approval queue. Once the initiator has submitted the entry, a second person in the queue must approve; however, initiators can still reject/disapprove their entries if corrections are needed before the second approval is processed.

Requisitions in Wu-Buy

Requisition functionality in Banner has officially retired. Moving forward, all requisitions must be submitted through Wu-Buy. If you have questions, please refer to the following resources:

Cash Carryforward Budgets

Cash Carryforward Budgets for Fiscal Year 2026 were not loaded, except for funds that aren’t budgeted in TM1. If you have questions, refer to the Budgets Transfers and Adjustments section on the Budget Maintenance Post Adoption website page or Budget Office.

 

The Office of Financial Services (Accounts Receivable/Student Accounts, Accounts Payable, Payroll, Purchasing and Travel) will have limited services available Tuesday, June 24 due to year-end processing.

It is a busy time as the university prepares for the 2025 Fiscal Year-End close. The Financial Services department issued an end-of-year memo to budget officers, budget review officers and business managers outlining important tasks and deadlines to assist departments in managing their budgets and ensuring a smooth close. 

The Financial Services department would like to provide additional support by answering any questions that may be helpful during the close process. Review the memo to ensure important deadlines are met and utilize the “Submit Your Questions” link at the bottom of the page to get the answers you need or directly here.

As common questions emerge, Financial Services plans to build FAQs on the page to help others work through similar questions and challenges.
